CASE ADMINISTRATOR

Salary £20,210.63 per annum

Permanent - Full Time, 40 hours

Within Care and Rehabilitation Services, the philosophy of our prisons is to rehabilitate offenders and equip them to re-integrate into mainstream society on release. We seek to normalise prison conditions as far as possible to reflect life in the outside community. Our aim is to create an environment in which staff and prisoners feel safe and causes of prison stress are minimised. Central to our philosophy is the relationship between staff and prisoners. Our training and operational practices emphasise the need to treat prisoners with dignity and respect and G4S staff build positive and supportive relationships with the prisoners in their care. HMP Oakwood is one of the largest prisons in England and Wales, providing places for up to approximately 2100 Category C male prisoners.

 

We are looking for a dynamic individual who can work using their own initiative or as part of a team to join our fast paced Allocations Department. You will provide an effective and efficient administration service to the Allocation Team within the Prison.

 

Key Responsibilities:

  • Set up files ensuring that paperwork is relevant and kept up to date
  • Maintain and update all databases
  • Complete sentence calculations
  • Liaise with external agencies such as Probation / Police / Courts / Social Services/Home Office
  • Update and maintain all aspects of prisoner details on PNOMIS/CMS ensuring they are correct
  • Complete discharge paperwork as and when required.
  • Request and collate ROTL paperwork
  • Request PD1’s and transpose information onto PNOMIS
  • Create and ensure licences are correct and add onto relevant systems as/where required
  • Attend parole hearings in the absence of the Parole Clark
  • Respond to prisoner applications
  • Monitor mail / telephone calls for prisoners subject to Public protection measures.
  • Attend any OMU meetings as and when required
  • File and record paperwork in the prisoner core records as and when received
  • Keep prisoner alert status on P-NOMIS up to date and accurate.
  • Monitor and distribute internal/external post
  • Monitor and deal with departmental emails
  • Book prisoner transport to courts
  • Conduct foreign national referrals
  • Chase courts for relevant/outstanding paperwork
  • Prepare end of month evidence for Performance meetings
  • Support POMS

JOB REQUIREMENTS

You will be an engaging, hardworking individual with a good sense of humour, who shares our ethics and values and is eager to support. A proven professional with professionalism and integrity, you will play an integral part to the Prisons success.

 

The ideal candidate for this role will be an experienced Administrator and therefore must be able to demonstrate the ability to work to tight deadlines, have a keen eye for detail, have the ability to prioritise workload and challenge where necessary.  Excellent written and verbal communication skills are a must, as well as working proactively and using your own initiative. It is key that you are flexible and adaptable to deal with ever-changing scenarios.  The role requires an individual with excellent IT skills.
