Job description

Working as part of a small team, you will support the Chief Digital Product Officer, ensuring their priorities and HMRC’s priorities are driven forward, and time is arranged most effectively.

The role of Chief Digital Product Officer is extremely busy, and you will play an essential role in ensuring they are prepared for each day. This is an exciting time to join the team as the role of the Chief Digital Product Officer is in its early stages and you will be given the opportunity to see the role develop.  You will be part of a wider network of Private Office Support community, sharing knowledge, skills and best practice.

This is a truly collaborative role, and you will build relationships across CDIO and the wider HMRC with people of all grades and roles. Private Office teams play a vital role in making sure HMRC’s senior leaders are equipped for the day and you will be relied on to make sure meetings are arranged, travel is sorted and all papers are at hand. It is a busy, interesting and demanding role with opportunity to develop and get involved in other support activity.

Proactively manage a busy diary, arranging meetings, ensuring meeting purposes/expected outcomes are clearly articulated, and making sure all relevant papers and supporting documents are to hand.

Inbox management where appropriate, responding to emails on behalf of the Chief Digital Product Owner where relevant. Flagging urgent emails as needed and upwardly delegating other work items quickly and accurately.

Ensuring an effective filing system is in place for inbox items and other documents, using One-Note, SharePoint or other electronic storage systems for effective document management.

Arranging all aspects of travel, being mindful of costs and ensuring value for money at all times.
Proactive liaison between all Private Offices, ensuring co-ordinated and effective working.
Providing all aspects of usual secretariat duties as needed, including minute taking, tracking and escalation of actions, collating briefing packs etc.

You will already have the following:

Evidence of strong senior stakeholder management and the ability to quickly build relationships.
Evidence of working at pace in a fast moving environment.
Demonstrable ability to understand key priorities and business requirements with the ability to use judgement and ensure meetings happen at the right time.
Strong IT skills, understanding SharePoint & One Note and Excel
