Full-time (37 hours per week) Scanning Post Room Officer contract to start on 21-10-19 until 27-03-20 with a possible extension.
Scan relevant documents into the Workplace’s Electronic Document and Records Management System. Use specialist scanning software to adjust image settings for size, quality and resolution so that images are of high quality and will be useable by departments. Identify different types of document and index them according to agreed indexing standards to ensure that staff in back offices can locate and process the documents efficiently. Sort and deliver paper mail to the appropriate locations across the workplace. Prepare and despatch outgoing mail, operating the franking machine and following other processes to ensure outgoing mail is dispatched efficiently. Meet agreed timescales and targets for scanning and indexing documents and delivering post to departments. Follow procedures to take a confidential and secure approach to handling personal data including sensitive personal data as well as other confidential information. Follow procedures relating to the good management of incoming paper documents until destruction. Destroy paper documents according to agreed retention and disposal policies. Report any issues relating to hardware and software and escalate any other issues to the Mail Room Supervisor.
