Job Description:

Our Client is looking for an experienced Executive Support Assistant to work on a 35 hour per week contract role to start on the 14-08-17 until the 19-08-18 with a likely extension.

Hours are: 8:30 am to 5:30 pm, Monday to Friday.

Purpose of Role:

 

Provide an efficient and comprehensive administrative and executive support service to the Divisional Director of HR and Transformation, and to HR Leadership Team when needed.

 

Act as an executive support ‘partner’ to the Divisional Director of HR  and Transformation - providing an effective executive support function – including: forward planning and administrative service, ensuring following-up on actions, undertaking research, drafting reports; and liaising with key stakeholders

Deal with the Divisional Director’s incoming/outgoing communications using judgement and experience to decide which need personal attention, redirecting or dealing with the remainder as appropriate.

Manage and co-ordinate briefings, enquiries and ensure a smooth flow of information to Client Members.

Undertake specific tasks as directed by the, Divisional Director or Directorate Support Manager and to work collaboratively with other Executive Support Officers and all staff.

 

EXPERIENCE

 

  • Experience of providing Executive support services at a Senior Management level in a busy HR environment

 

  • Experience of setting up and maintaining office systems, writing high level responses to queries and having excellent oral communication skills.

 

  • Experience of organising meetings and events, including agendas, minute taking and project research on a self-directed basis.

 

  • Experience providing Executive support within a unionised environment

 

  • (Desirable) Experience of Local Government

 

KNOWLEDGE & SKILLS

 

  • Advanced knowledge and understanding of I.T. applications including Microsoft Outlook, Word, Excel, PowerPoint and intranet

 

  • Good knowledge of current central and local Government structures and office management systems

 

  • Resilience when facing demanding workloads, conflicting priorities and challenging situations.
