Job Description:

Administrator / Sales Support

Profectus have a brand new opportunity for a skilled Administrator with experience of working in Health, ideally within the NHS to support the UK sales teams and provide general office support.

The successful candidate will have 2 main functions, firstly the provide Sales Support & Administration (ideally you’ll be a Powerpoint pro) and secondly to undertake general office administration duties.  

Sales Administration:

  • Support and co-ordinate tender and client contractual document management including proof-reading, organising contract signing, filing and maintenance of records
  • Liaise with clients to book appointments and arrange follow up meetings
  • Maintain Director UK Health outlook calendar
  • Maintain/update company templates, archives (stored on SharePoint), ensuring standardisation
  • Proof-read and format documents: Excel, Word & PowerPoint
  • Attend meetings and take minutes
  • Assist with project administration including monitoring of employee timesheet submissions, maintenance of project codes and validation of employee expense claims.
  • Assist with preparation of case studies and marketing information

General Administration:

  • Answer incoming calls / front door buzzer and greet visitors
  • Co-ordinate meetings including booking rooms, organising refreshments and ensuring rooms are cleared after each meeting
  • Assist and co-ordinate with organisation and preparation of occasional events, marketing materials, case studies and tenders.
  • File documents (electronic/hard copy)
  • This role provides general administration when required, including absence cover
  • Book domestic and international travel and accommodation for UK and overseas staff
  • Support with business visa applications and employee vetting
  • Ad-hoc tasks as required
  • The ideal candidate must have several years’ experience as an Administrator ideally within Health care.
  • The candidate will need to have the required gravitas to effectively support the business and senior staff members. The candidate needs to have a natural flare for being precise.
  • The candidate must be effective at prioritising workloads and meeting deadlines.
  • They must be able to work under pressure when required and flexible in assisting team members during quieter periods.
  • They will be the first point of contact for clients.

The following background knowledge/skills are required:

  • Intermediate to Advanced knowledge of Outlook, Microsoft Word, PowerPoint and Excel
  • Experience of working in Health care essential and ideally in NHS organisations or software/consultancy
  • Working knowledge of SharePoint and MS CRM would be an advantage
  • Excellent communication, prioritisation and organisational skills
  • Comfortable liaising with employees at all levels of the organisation
  • Ability to work in an autonomous role and make decisions
  • High level of numeracy, accuracy and attention to detail
  • High level of integrity
