Job Description:

Role Purpose:

 

  • To provide a comprehensive, efficient and confidential, administrative and secretarial service to the multi-disciplinary Team in CAMHS.
  • To work in close co-operation with staff and other health professionals to ensure a quality service.
  • To be an active and supportive member of the CAMHS administrative team.

 

 

Role Context:

  • This role requires an experienced professional with the ability to provide an efficient and comprehensive secretarial and administrative service to the CAMHS Team including specific responsibility in providing administrative support to the Clinical Lead for CAMHS. 

 

Key Accountabilities

  • To provide an efficient administrative and secretarial service to include the typing of reports, appointments and letters and audio typing of correspondence ensuring accuracy and a high standard of presentation.
  • Undertake general office duties which will include reception duties, answering the telephone, taking messages as appropriate, photocopying, filing, faxing and associated duties in an efficient and timely manner.
  • To manage, update and maintain diary schedules, ensuring that conflicting and amended appointments are actioned appropriately and room booking via outlook.
  • Arranging meetings on behalf of the Clinical Lead for CAMHS and preparing documentation/agendas as required. 
  • Taking minutes of meetings when required.
  • Typing of Job Plans and appraisal notes.   
  • Input computer data, to manipulate and retrieve, ensuring adherence to the Data Protection Act 1998.
  • Assist the Admin Team Leader and Clinical Team in adhering to performance targets by the retrieval of data from the Trusts reporting system.  
  • Assist the Business Manager and Admin Team Leader in adhering to Trust waiting time targets by way of investigation using the Trust Patient Information Management System (RIO).
  • Ensure mail is received and dispatched in line with the Trust’s Standing Financial Instructions.
  • Ensure patient referrals are processed and recorded on the Patient Management System, and all medical records are filed correctly and neatly in line with relevant procedures.
  • To maintain communication links between Consultants, other members of the multi-disciplinary team and other agencies involved in the care of the patient.
  • To act as a first point of contact for clients and visitors to the site, offering an efficient reception service.
  • To deal with patient queries in an appropriate, sensitive, confidential and timely manner.
  • Operation of the Petty Cash System in line with Standing Financial Instructions.
  • Ensure that efficient systems are in place regarding the requisitioning, issuing and monitoring of stationery, equipment and furniture from stock / non stock suppliers in line with Standing Financial Instructions.
  • To cover in the absence of other admin colleagues.
  • To undertake any other duties which may reasonably be regarded as within the nature of the duties and responsibilities / grade of the post as defined, subject to the proviso that normally any changes of a permanent nature shall be incorporated into the job description in specific terms.

  • Ensure Health and Safety practices are performed that are appropriate to self and others.
  • Responsibility for health and safety to ensure that a safe working environment is maintained for staff, patients and visitors and ensure that the Trust’s assets are secure at all times by working to Health and Safety legislation and Trust policies.
  • To suggest changes to and implement local health and safety procedures.

 

Education and Development

  • To participate in appropriate training courses or updates in accordance with mandatory requirements and / or individual Personal Development Plans.

  • The duties and responsibilities of the post will be undertaken in accordance with the policies, procedures and practices of Nottinghamshire Healthcare NHS Trust.  It is the post holder’s responsibility to ensure that they keep up to date with these policies and other policy documents.

  • Ensure that the level of service provided is to the agreed quality standards.
