Job Description:

Our client is looking for an experienced Records Management Assistant to work on 35 hour per week contract role to start on the 27-11-17 until the 27-04-18 with a likely extension to the contract. 

Hours: 9:00 am to 5:30 pm, Monday to Friday,

 

MAIN PURPOSE

  • Support the implementation of the council’s EDRMS project providing assistance to records management tasks.
  • Provide support for records management activities and contribute to the development and implementation of improved systems and processes.
  • Work closely with the EDRMS project manager, the project records manager and the project team to ensure effective completion of tasks in the EDRMS implementation.
  • Provide advice and guidance to users on records management issues in alignment with corporate policy and project guidance and procedure.

 

  1. MAIN DUTIES AND RESPONSIBILITIES

 

  • Establish file plans by working with users to develop the level 4-6 folder structure for individual teams and service areas.
  • Assist in development of Level 1-3 file plans and related retention schedules.
  • Ensure compliance with relevant classification schemes, supporting and training users is the use of such systems and make recommendations for improvement where necessary.
  • Assist with the cleansing of data prior to migration by co-ordinating users in the deletion and sorting of documentation within agreed deadlines
  • Support the migration of data to the new structure by working with users to move documents into the new folder structure in compliance with the classification scheme
  • Support the review the Records Management test plan and test scripts
  • Assist with the implementation of the test plan and test scripts by carrying out test procedures to ensure the system is fit for purpose (RM Process Scripts)
  • Support the effective user acceptance testing prior to the system going live to ensure user processes are fit for purpose.
  • Support the effective communication of the EDRMS project’s benefits and deadlines by being involved with briefings to Business Champions and wider users about the EDRMS, their role and key activities
  • Support Business Champions to carry out their role
  • Carry out a training needs analysis to determine the training requirements for Records Management
  • Assist with the development of training material (including train the trainer materials) and the creation of computer based and classroom based training materials and the training of key staff
  • Carry out data validation testing
  • Support the rollout of the system to all users providing records management checks and assistance
  • Contribute to the development and implementation of operational strategies, policies associated with document and records management.
  • Contribute to the development of relevant procedures to provide easy guidance on information storage, retrieval, retention and destruction which comply with organisational policy, practice and legislative requirements.

 

QUALIFICATIONS AND EXPERIENCE

  • Records Management experience
  • Experience of working directly with users help them with new technology
  • Experience of working in a project team to bring about change to an organisation’s ways of working
  • Experience of designing and delivering training and facilitating group sessions and workshops

 

 

Essential Skills

  • Demonstrate knowledge of records management practices and their functions, familiarity with retention schedules, records management systems, standards and processes.
  • Strong analytical skills and attention to detail to fully interpret business and customer needs

  • Excellent communications skills both written and verbal with the ability to interact professionally with a diverse range of individuals internally and externally

  • Have an innovative approach to identify new opportunities
  • A strong working knowledge of MS Office including Visio
