Role Overview:
An opportunity has arisen for a Document Controller to join the team with our client. As Document Controller, you will be required to liaise with the different departments within the Business Unit to ensure documents are kept in the right location and are accessible to all internal services.
The role often involves working to deadlines and ensuring that all departments of the company are following the same procedures with regards to documents. The successful applicant is expected to have excellent organisational skills and to be familiar with effective filing. They must have the ability to monitor and evaluate systems and to look for improvements. Good communication skills are important to be able to co-ordinate with the company's different departments. Additionally, an understanding of the company's business matters is crucial to be able to identify and control documents effectively.
Key Responsibilities:
General Office Duties:

  • Assist the team with monitoring the production and quality of design and project management documentation in line with the clients processes and procedures.
  • Assist the team with conducting regular quality audits and complete the audit compliance forms.
  • Assist staff in extracting standard design information / specifications from client specific document portals or other relevant sources.
  • Assist the team in producing promotional material for the business (i.e. case studies, capability statements etc.)
  • To audit existing configuration management systems (Projectwise, CEMAR, Asite, etc.) and to provide feedback to management team on improvement to the systems.


Job Specific Duties:

  • Assist design team in producing design briefs for external sub-contract design.
  • Collecting tender design inputs from clients and storing in correct location.
  • Assist design team in producing documents associated with the design plan (i.e. staff CV's, design deliverables etc.).
  • The management of design deliverable documents to make sure they are stored on the server in the correct location and are the latest revision.
  • To maintain the Drawing & Document Register / Transmittal (DDRT) recording when documents are received and issued.
  • Issue documents onto and manage client responses back to appropriate team members.
  • Assist in providing technical information for HAZCONs, HAZCOMMs, HAZOPS, ALM's, FATs and SATs.
  • Collate and be responsible for compilation O&M Manuals for projects throughout their lifecycle, including H&S Files.
