Role overview:
We are looking for a highly organised and proactive Senior Administrator to provide comprehensive support to our project and administration team. This role plays a crucial part in ensuring the efficient operation of our projects and day-to-day activities.
Our positive company culture is important to us, and this role requires a confident and friendly person who is comfortable interacting with our clients, suppliers and contractors. Our admin team work with all internal teams to support the project and company's administration needs and will need to be effective at understanding how to prioritise the work.
We're going through an exciting time of growth for our internal systems to further improve business efficiency. The admin teams support and ability to adapt with the implementation of this is essential.
General responsibilities:
- Answer and manage all initial phone calls, and email coordination regarding projects or general queries.
- Support the operations team in the implementation of the new internal management system, ensuring smooth process adherence.
- Take initiative to understand the team's needs and address tasks proactively.
- Manage all project tasks including; raising jobs on our internal system, coordinating with clients for initial documentation, raising POs and ordering materials etc.
- Handle financial administrative tasks within our accounting software.
- Serve as a point of contact between contractors, suppliers and project managers, assisting with communications and logistics.
- Uphold and enforce office guidelines to maintain a professional and productive work environment.
Skills & experience:
- Demonstrates competence in a similar administration role with a track record of handling high level administrative responsibilities effectively and efficiently.
- Financial transaction and administration experience preferred.
- Confident working independently, with the ability to prioritise tasks and take initiative to solve problems proactively.
- Maintains a friendly yet professional demeanour, representing the company's values when communicating with clients, contractors, and team members.
- Comfortable adapting to changing priorities and supporting busy teams as the role evolves to meet business needs.
- Works collaboratively within a team while maintaining accountability for individual responsibilities.
- Skilled in Microsoft Office Suite, including Word, Excel, Outlook, and SharePoint.
- Demonstrates excellent written and verbal communication skills, with strong proofreading and presentation abilities.
