HSE Administrator

Location: Birmingham, UK
Type: Full-time

Salary: Up to £26,116.00 per annum

As the HSE Administrator, you’ll provide vital administrative and coordination support to the Health, Safety & Environmental team. From managing H&S documentation, to supporting audits, training, communication campaigns and incident reporting—you’ll be central to ensuring the business meets its legal, regulatory and internal standards.

This position is ideal for someone with strong organisational skills, excellent attention to detail, and a proactive approach to problem‑solving. Whether you’re experienced in HSE or looking to develop in this field, this role offers fantastic exposure across a busy engineering environment.

Key Responsibilities as a HSE Administrator:

  • Provide daily administrative support to ensure compliance with ISO 14001 and ISO 45001 standards.
  • Maintain H&S records, including training logs, induction documents, audits, inspections and permits.
  • Monitor the central H&S inbox, directing queries appropriately and ensuring timely responses.
  • Assist in preparing and issuing safety documents such as SOPs, risk assessments, and toolbox talks.
  • Create and distribute HSW communications, including posters, campaigns, and noticeboard materials.
  • Coordinate fire marshals and maintain fire evacuation lists.
  • Input accidents, incidents and near‑miss information into HSE software, supporting follow‑up and reporting.
  • Manage key H&S data to support audits, investigations and project reports.
  • Track training needs such as first aid, fire marshal and manual handling certification; send renewal reminders.
  • Schedule and organise safety-related training and workshops.
  • Liaise with internal teams to order safety equipment and training resources.
  • Support the upkeep of PPE systems, ensuring smooth day‑to‑day functionality.
  • Assist with chemical inventory control, ensuring accurate documentation and safe storage.
  • Deliver safety inductions for new starters.
  • Support internal audits, inspections and HSE meetings—capturing notes and actions.
  • Promote positive health, safety and environmental behaviours across the site.
  • Contribute to continuous improvement activities, including Gemba walks and cross-site best practice sharing. 

What We’re Looking for as a HSE Administrator role:

  • Strong administrative and IT skills, especially in Microsoft Word, Excel and PowerPoint.
  • A proactive, organised and detail-driven approach.
  • Good analytical and problem‑solving skills.
  • Excellent communication and interpersonal abilities; confident working with colleagues at all levels.
  • A positive, flexible attitude and willingness to take initiative.
  • Ability to coach, influence and build trust with others.
  • Knowledge of HSE practices or standards is beneficial but not essential.
  • Open‑minded, collaborative and committed to continuous improvement.
