Job Title: Team Assistant – Global Markets Division
Location: London, 5 days in office
Pay: £23 per hour (inclusive of holiday pay)
Working Pattern: Monday to Friday, 8:00am – 5:00pm

About the Opportunity

Tay Associates have partnered with a leading global investment banking firm in London to recruit a Team Assistants to join their high-performing Global Markets Division. This division operates in a fast-paced, high-pressure and client-focused environment, requiring highly competent, energetic assistants who can hit the ground running. These are demanding and varied roles suited to proactive, motivated and exceptionally organised individuals with a strong work ethic and a collaborative mindset. Experience managing competing priorities, providing support across demanding coverage areas and working as part of a cohesive team is essential.

 

Key Responsibilities

  • Extensive calendar management for large teams, including MD and Partner-level executives
  • Coordinating and scheduling meetings and conference calls across multiple time zones
  • Managing a high volume of calls and emails, relaying information efficiently and accurately
  • Coordinating room bookings for internal and external meetings, Zoom calls and video conferences across multiple locations
  • Coordinating complex travel arrangements, including visa applications, international flights, hotel and car bookings.
  • Implementing divisional policies and providing guidance to supported teams
  • Expense management and preparation
  • Handling ad hoc tasks while maintaining daily workflow
  • Supporting teams with day-to-day issues, queries and operational needs
  • Providing phone and holiday coverage for colleagues

 

Skills & Experience

  • Excellent Microsoft Word, Excel and Outlook skills
  • Strong ability to prioritise and manage multiple time-sensitive tasks
  • Professional and confident communication skills, both written and verbal, when interacting with senior executives
  • Comfortable working with individuals at all organisational levels, internally and externally
  • Strong team player who performs well under pressure in a fast-changing environment
  • Flexible and adaptable, with the ability to support multiple teams
  • Proactive approach to diary and workload management

 

Education & Background

  • Minimum 3–4 years’ experience as a Team Assistant in a busy, fast-paced environment
  • Experience within financial services or a similarly demanding corporate setting is advantageous
  • Open-minded regarding professional background, provided the required experience and skills are demonstrated
