A very rare opportunity has arisen within a highly regarded independent property company for an experienced Lettings Administrator to join their established office in Summertown, Oxford. My client has an excellent reputation within the local property market and prides itself on it’s long standing team and the culture within the business. They are looking for an experienced administrator to support both their lettings and block management team.

Lettings Administrator – Benefits

  • Salary of up to £35,000 depending on experience, pro rata
  • Full and part-time hours considered
  • Preference for four days per week, one of which could be a half day
  • No weekend working
  • There may be the option for some working from home
  • 20 days’ annual leave plus statutory bank holidays, pro rata
  • Christmas shutdown

Lettings Administrator – Duties:

  • Processing tenant applications.
  • Organising tenant referencing and credit checks.
  • Dealing with maintenance enquiries and coordinating repairs.
  • Monitoring rent collections and following up on outstanding payments.
  • Ensuring service charge accounts and payments are kept up to date.
  • Preparing and sending mailouts relating to AGMs and other tenant / landlord correspondence
  • Providing administrative support to the lettings and block management team.
  • Maintaining accurate records and updating the relevant property management systems.
  • Liaising with tenants, landlords, leaseholders, contractors and colleagues.
  • General day-to-day property administration duties in support of lettings


Lettings Administrator – Experience needed

  • Previous experience within a similar Lettings Administrator, Property Administrator or Tenancy Coordinator role is essential.
  • A few years of experience working within residential lettings or property management.
  • Experience processing tenant applications, referencing and credit checks.
  • Experience dealing with maintenance enquiries and rent collection administration.
  • Knowledge of service charges or block management administration would be advantageous.
  • Experience using CFP Winman or Blockman would be beneficial, although not essential.
  • Strong organisational skills and excellent attention to detail.
  • Confident communication skills and a professional telephone manner.
  • The ability to manage a varied workload and work effectively as part of a team.
