Job Description:

Reporting directly to the Design Lead, this role takes ownership of design documentation, drawing production, and project coordination across active fit-out projects. It's a hands-on position for an experienced design professional who can manage multiple workstreams independently, deliver a high standard of technical output with minimal supervision, and bridge both the design and delivery sides of a project.

Key Responsibilities

Design Documentation & Deliverables

  • Prepare, update, and organise design drawings, presentations, and specifications
  • Maintain accurate, version-controlled drawing registers and document systems
  • Produce and update CAD drawings, mood boards, material schedules, and finish specifications
  • Prepare design packages for client presentations and internal reviews
  • Coordinate drawing submissions and track revision cycles across projects

Project Coordination Support

  • Act as the coordination link between the Design Lead, Project Manager, and site teams
  • Join site visits to verify design implementation and document progress
  • Track RFIs and design-related queries from site teams
  • Maintain and distribute meeting notes, decision logs, and action trackers
  • Liaise with suppliers, FF&E vendors, and subcontractors for samples, technical data, and quotations

Material & FF&E Coordination

  • Source, compare, and track materials, finishes, furniture, fixtures, and equipment
  • Maintain material libraries and sample archives
  • Coordinate sample submissions and approvals with clients and the Design Lead
  • Track procurement timelines and flag risks or delays

Administrative & Document Support

  • Maintain organised digital and physical project folders per company standards
  • Assist with reports, handover documentation, and close-out files
  • Support the Design Lead with scheduling, correspondence, and day-to-day operations
  • Format client-facing documents to brand and quality standards

Requirements

  • Bachelor's Degree in Interior Design or Architecture from an accredited university
  • 7–10 years' experience, including a minimum of 5 years in interior fit-out/design coordination
  • Essential: proficiency in AutoCAD
  • Working knowledge of Adobe Creative Suite (InDesign, Illustrator, Photoshop)
  • 3D visualisation skills (SketchUp, 3ds Max, or equivalent) an advantage
  • Competent in MS Office (Word, Excel, PowerPoint)
  • Able to read and interpret construction drawings, BOQs, and technical documents
  • Able to resolve discrepancies between design intent, approved drawings, and site conditions
  • Capable of leading design meetings and following approvals through to closure
