Job Description:
This is a fast-paced and highly varied opportunity supporting the Founder of a boutique investment business. Combining Executive Assistant, Office Management and Private PA responsibilities, this role is perfect for someone who enjoys variety, takes pride in keeping things running seamlessly and thrives in an entrepreneurial environment.
As the Founder's trusted right hand, you'll play a pivotal role in both the day-to-day management of their business and the smooth running of the office. You'll also provide support to the wider team when needed, making this a true all-round position where no two days are the same.
We're looking for someone who is highly organised, naturally proactive and adaptable, with the confidence to anticipate needs, build strong relationships and take ownership. This is a hands-on role that would suit someone who enjoys being at the heart of a busy office and is comfortable juggling multiple priorities with professionalism and discretion.
Key Responsibilities- Providing seamless Executive Assistant support to the Founder, including extensive diary and inbox management.
- Coordinating meetings, appointments and complex schedules.
- Arranging domestic and international travel, including flights, accommodation and detailed itineraries.
- Managing expenses, invoice coding and general administrative support.
- Taking ownership of the day-to-day running of the office, ensuring it remains professional, welcoming and efficiently run.
- Coordinating company events, conferences, off-sites, team socials and client hospitality throughout the year.
- Providing Private PA support, including personal administration, appointments, travel, shopping and other lifestyle requests.
- Preparing presentations, reports and Excel spreadsheets, including formulas and expense tracking.
- Building strong relationships with investors, clients and external stakeholders, acting as a professional first point of contact.
- Supporting ad hoc business projects and providing administrative assistance to the wider team as required.
- Identifying opportunities to improve office processes and implementing efficient ways of working across the business.
- Previous experience supporting a Founder, CEO or senior executive as an Executive Assistant.
- Highly organised with exceptional attention to detail and the ability to manage multiple priorities.
- Calm under pressure, resourceful and able to handle confidential information with complete discretion.
- Naturally proactive, anticipating needs and taking ownership with minimal direction.
- Comfortable being the central point of support within a busy office and happy to be hands-on with both Executive Assistant and Office Management responsibilities.
- Polished, personable and professional, with outstanding written and verbal communication skills.
- Strong technical skills, including Microsoft Office, particularly Excel, and confidence using new systems and AI tools.
- Flexible and adaptable, with a willingness to support outside of standard office hours when business needs require.
- Previous experience within property, investment, real estate, family office or another entrepreneurial environment would be highly advantageous.
