We are currently seeking a professional and personable Front of House / Workplace Assistant to join our client in Glasgow City Centre on a long-term sick cover basis.
This is a fantastic opportunity for someone with strong customer service skills who enjoys being the face of the business, ensuring employees and visitors receive a first-class experience while supporting the smooth day-to-day running of the office.
The successful candidate will take ownership of front of house responsibilities, meeting room management, workplace coordination, and general office support in a busy corporate environment.
Key ResponsibilitiesFront of House- Welcome visitors and provide a professional first impression.
- Manage visitor sign-in processes and issue temporary access passes.
- Assist employees and guests with enquiries and office facilities.
- Support access pass administration for new starters and leavers.
- Maintain accurate records for access passes and locker allocations.
- Monitor office areas to ensure they remain clean, tidy, and presentable.
- Liaise with cleaning teams regarding daily requirements and office standards.
- Ensure café and hospitality areas are fully stocked and maintained.
- Support office furniture moves and workspace setups when required.
- Escort contractors and service providers attending site.
- Prepare meeting rooms for internal and external meetings.
- Ensure meeting rooms are clean, organised, and fully equipped.
- Assist with meeting room technology and coordinate with IT when issues arise.
- Support visitors with guest Wi-Fi access.
- Replenish stationery and presentation materials within meeting spaces.
- Manage incoming and outgoing mail.
- Coordinate courier collections and deliveries.
- Assist with office supply management, including printers, paper, and toner.
- Support weekly and monthly reporting requirements.
- Conduct routine workplace checks including first aid supplies and office equipment.
- Previous Front of House, Reception, Facilities, Hospitality, or Office Support experience.
- Excellent communication and customer service skills.
- Professional, approachable, and well-presented.
- Strong organisational skills with the ability to multitask.
- Comfortable working independently and using initiative.
- Good Microsoft Office skills and general IT confidence.
- A proactive and flexible attitude.
